How to reply to emails faster

Most slow replies aren't slow to type. They're slow to start, because the email needs a decision, a file, or a date you have to go find. Speed up the typing, but mostly speed up the start.

To reply to emails faster, answer the question in the first sentence and keep most replies to three sentences or fewer, save your common replies as templates (Gmail: Settings, Advanced, Templates; Outlook: My Templates on the Message tab), and use keyboard shortcuts like r to reply in Gmail or Ctrl+R in Outlook. Reply in set sessions rather than all day, and decide which emails don't need a reply at all.

Write shorter replies that answer first

The fastest reply is the one you don't draft twice. Put the answer in the first sentence, the one detail they need in the second, and a next step in the third. Most work email doesn't need more.

  • Answer inline when an email has several questions. Reply under each one instead of writing a new essay.
  • Skip the recap. The thread is right below your reply.
  • If you can't answer yet, say when you will. A 10-second holding reply beats a perfect one three days late.

Save the replies you write every week as templates

If you've typed the same paragraph three times this month, it should be a template.

    Gmail: turn templates on

    Click Settings, See all settings, then the Advanced tab. Next to Templates, click Enable, then Save Changes.

    Gmail: save and insert

    Write the reply, then click More options, Templates, Save draft as template, Save as new template. Next time, open More options, Templates, and pick it under Insert template. Templates are managed from a computer, not the mobile app.

    Outlook: My Templates

    In a new message or reply, select My Templates on the Message tab. Click +Template, add a title and the text, and Save. Click a saved template to insert it. If My Templates is missing, your organization may have add-ins turned off.

    For a template with a subject and attachments, write the message, then File, Save As, and choose Outlook Template.

Keep templates short and leave a bracketed gap for the specific detail, so you don't send "[date]" to a client. For wording you can start from, see the templates library, including an apology for a late reply for the backlog you're clearing now.

Reply in sessions, not all day

Switching between email and other work is where the time goes. Pick two or three reply sessions a day and handle messages in order: anything under two minutes gets answered now, anything longer becomes a task with a date.   • Start with the oldest message that's waiting on you, not the newest.
  • Close the inbox tab while you write. Replying from a search for is:unread from:your-manager keeps new mail out of view.
  • If a reply needs a file, find the file before you open the compose window.

Send fewer replies that need replies

Some of your inbox exists because of how your last replies were written. Offer specific times instead of asking "when works?" Say "no reply needed" when that's true. How Synced shortens the start of a reply

The slow part of a reply is usually the lookup. Synced does it before you open the email: it reads the new message, finds the file in Drive or OneDrive, checks your calendar for times, and has the draft ready in Decide. You read it, edit if needed, and approve. Nothing is sent without that approval.

How quickly should you reply to a work email?

Within one business day is a common expectation for work email. If you need longer, a short reply saying when you'll have an answer resets the clock.

How do I create canned responses in Gmail?

Gmail now calls them templates. Enable Templates under Settings, See all settings, Advanced. Then, in a compose window, click More options, Templates, Save draft as template.

Is it rude to send very short email replies?

Not at work, when the reply answers the question. A greeting and a first name keep a two-line reply from reading as curt.

What's the keyboard shortcut to reply in Outlook?
